We are currently seeking an experienced Assistant Purchasing Manager to join the facilities leadership team.
In this role, you assist with purchasing equipment, supplies, services and construction contracts for The Henry Ford, Henry Ford Academy, Giant Screen Experience and the Ford Rouge Factory Tour. Additionally, you will assist in overseeing purchasing, mail center, shipping and receiving operations. The Assistant Purchasing Manager works with contracted services, administrator for pest control, copier, transportation services and elevator programs. Works with Risk Management program and UAW contract and point system as required.
Essential Responsibilities:
• Prepares and processes requisitions and purchase orders for supplies, equipment and services. Checks requisitions for appropriate approval and budget numbers.
• Assesses organizational needs and identifies opportunities to affect cost savings using competitive bidding, volume purchasing and other purchasing procedures.
• Negotiates purchase contracts and pricing. Sources best product or service based on multiple bids, assessing and awarding contract to good or service best fit for THF. Assists in purchasing high dollar contracts and services such as construction projects, vehicles and information technology equipment.
• Communicate with account representatives to ensure the organization receives fair and best available pricing based on non-profit cooperative purchasing agreements.
• Determines the most efficient and economical means of transportation for incoming and outgoing materials, prioritizing goods/services to arrive in a timely manner.
• Assists with evaluating bids and maintaining contracted programs for THF including, but not limited to, vehicles, postage meter, copiers, pest control, elevators, construction, light bulbs, institutional clothing, cleaning, furniture and flooring for THF, HFA, FRFT and GSE. Develops and maintains computerized and standard file systems in multiple document formats of procurement information for those listed above.
• Establishes account credit & terms, and gains & tracks Certificate of Insurance from contractors performing onsite work.
• Maintains and supplies inventory of in-house office supply materials.
• Tracking daily credit card use and reconciliation monthly of credit card statement.
• Assists in recommendation and design of office furniture, pricing and award of contract. Assists with coordinating organization of internal office movement institute-wide and oversees implementation.
• Assisting with development and listing of property disposition via auction or other sources, which includes, but is not limited to, vehicles, equipment and materials.
• Assists with the management, coaching, leading and mentoring of union and non-union personnel affiliated with the Procurement & Distribution staff. Assisting in the interview process and hiring of union and non-union personnel and oversees training as needed.
• Assists in providing purchasing expertise, leadership and protocol to other operations in organization. Helps assist with recommending, planning and establishing policies and goals to keep purchasing activity current with purchasing procedures. Complies with safety & institute guidelines on business ethics.
• Assist in managing accounts for freight, air and ground transportation, including invoice payment and tracking of budget numbers for each shipment incoming and outgoing. Assists with negotiating contracts regarding transportation of goods, incoming and outgoing, to ensure the organization receives fair pricing and service based on volume of usage.
• Contributes to the effective team management of all problems, issues and opportunities. Acts as a team player and provides expertise within the team environment as appropriate.
• Manages special projects assigned and performs other activities as necessary.
Your Qualifications:
• High school diploma required; associate’s degree preferred
• Three or more years’ purchasing or relevant project management experience
• Must possess a valid driver’s license
Special Skills:
• Ability to work independently, take direction, problem-solve, negotiate contracts and prioritize
• Good communication and organizational skills
• Ability to deal effectively with contractors
• Must be able to take charge, use solid judgement to make decisions and accomplish high quality work on a timely basis
• Familiarity with UAW policies and procedures
• Familiarity with Dayforce timekeeping system helpful
• Individual must demonstrate leadership and supervisory skills engaging the department and staff to help fulfill the mission, vision, and values of The Henry Ford
